Review Invite Tool: Errors and Warnings Guide

Our Review Invite Tool is designed to help you seamlessly send review invitations for Prospects & Clients. However, certain errors or warnings may occur during the upload process. Below is a guide to help you understand and resolve these issues.

Errors

Errors prevent the upload from being processed. Please address the relevant issues before re-uploading the file.


1. Uploaded file is empty

Fix: Ensure your file contains data and re-upload.

2. Uploaded file contains rows more than 2000

Fix: Split your file into smaller batches with a maximum of 2000 rows and upload each batch separately.

3. CSV file contains data for a column but is missing the column header

Fix: Verify all columns in your file have appropriate headers (Adviser ID, Adviser name, Client email, Client first name, Client ID)

4. Upload is missing the column(s):

Fix: Verify all columns in your file have appropriate headers (Adviser ID, Adviser name, Client email, Client first name, Client ID)

5. Upload contains too many columns

Fix: Remove extra columns and re-upload the file.

6. Upload contains too many columns on row

Fix: Ensure the number of columns matches the expected format. Strings with commas must be enclosed in double quotes to prevent splitting.

7. Please re-upload the file with the correct column headings

Fix: Ensure your column headings exactly match the required format.

8. Unclosed double quote error

Fix: Ensure all text enclosed in double quotes is properly closed. We don’t support line breaks within CSV fields.

9. Upload contains duplicate client IDs

Fix: Remove duplicate Client IDs to ensure all entries are unique.

10. Upload contains missing data on row(s)

Fix: Check the specified rows and fill in any missing data.

11. Upload contains an invalid email address on row(s)

Fix: Verify the email addresses in the specified rows are formatted correctly. We check for the following when determining if the email address is valid:

  • Missing domain (e.g. user@)

  • Missing local part (e.g. @example.com)

  • Consecutive dots in domain (e.g. user@domain..com)

  • Domain starts with a dot (e.g. user@.com)

  • Spaces are not allowed (e.g. user name@domain.com)

  • Missing TLD (e.g. user@domain)

  • TLD too short (e.g. user@domain.c)

  • Consecutive dots in local parts (e.g. user..name@domain.com)

12. Upload contains Adviser ID (column A) that are not associated with your network/firm

Fix: Verify the adviser IDs match those associated with your network or firm.

13. Upload contains Adviser ID that cannot receive reviews

Fix: Contact customer_service@vouchedfor.co.uk for assistance in resolving this issue.

14. None / some of the advisers in the uploaded document belong to your firm/network

Fix: Download the CSV file again to ensure the Adviser ID is correct. Confirm adviser details and ensure they are associated with your firm/network.

Warnings

Warnings do not block the upload but highlight potential issues that you may want to address.

1. Already left a review on [date]

   Indicates the client has already submitted a review within the last 6 months.

2. Previously invited on [date]

   Indicates the client has previously been invited to leave a review within the last 6 months.

Additional checks to be undertaken before uploading data

1. Suspect Client Names

We suggest checking the ‘Client first name’ column for the following text

  • Deceased

  • Trust

  • Will

  • Value

  • Estate

  • ISA

  • Numbers


2. Check that the client email address does not equal the adviser email address
